Remembrance Inc. ("Company", "We", "Our", or "Us") respects Your privacy and is committed to protecting it through Our compliance with this policy (this "Policy"). All undefined capitalized terms used in this Privacy Policy have the same meanings set forth in the Terms of Service. This policy applies to information We collect:
On this website (the "Site") and Our mobile application (the "App") (these terms may be used interchangeably in this Policy); and
In email or other electronic messages between You and this Site/App.
This Policy does not apply to information collected by:
Us offline or through any other means, including on any other website operated by Company or any third party (including Our affiliates and subsidiaries); or
Any third party, including through any application or content (including advertising) that may link to or be accessible from or through the Site.

If you do not agree with Our policies and practices, Your choice is not to use Our Site. By accessing this Site/App, you agree to the terms of this Policy. CHILDREN UNDER THE AGE OF 18
This Site is not intended for individuals under 18 years of age. Accordingly, no one under age 18 may provide any personal information to or on this Site. INFORMATION YOU PROVIDE TO US
Personal information You provide to Us through the Site or Services include:
Account information, such as Your account registration information, username, password, account activity information, Your order activities, and Your visit and login activity information, including the date and time, and other automatically-logged information described below.
Content You choose to upload, such as text, images, and photographs, along with the metadata associated with the content You upload.
Customer contact information, such as Your first and last name, Your email, delivery and billing addresses, and Your phone number.
Feedback or correspondence, such as information You provide when You contact Us with questions, feedback, or otherwise correspond with Us online.
Demographic information, such as Your city, state, country of residence, postal code, and age.
Financial information, such as Your payment card information or other payment method, held only in the form of a token. This includes both one-time purchases and recurring subscription payments (such as the $25/year Peer Support subscription or monthly/annual B2B Organization plans) processed through Stripe.
Usage information, such as information about how You use the Services and interact with Us, including information associated with any content You upload to the Site or otherwise submit to Us, and information You provide when You use any interactive features of the Service.
Other information that We may collect which is not specifically listed here, but which We will use in accordance with this Privacy Policy or as otherwise disclosed at the time of collection.


INFORMATION COLLECTED THROUGH BUSINESS ACCOUNTS
If You access the Services through an account created by or on behalf of a pet service provider, veterinary practice, cremation service, HR department, People team, or Employee Assistance Program (each, an "Organization"), We may collect additional categories of information, including:
Organization profile information. The name, logo, brand color, and contact details of the Organization, as provided by the Organization administrator during account setup.
Team member information. The names, email addresses, and assigned roles (owner, admin, or view-only) of individuals invited to manage the Organization account.
Client and employee records. When an Organization invites clients or employees to use the Services, or when individuals join via a branded link, invitation, or employer access code, We collect information linking the individual to the Organization, including the method by which the individual joined (invite, branded link, or access code) and the date of activation.
Data sharing consent records. When a client or employee agrees to share specific pet wellness data (such as Quality of Life scores, Peaceful Passing Planner selections, or Pet Moments) with their connected Organization, We record those consent choices. Clients may modify or revoke consent at any time through their account settings.
Provider messaging data. Messages exchanged between Organization team members and their clients through the in-app messaging feature, including message content, timestamps, sender identification, and delivery status. Automated messages triggered by platform events (such as a new client joining or a pet loss notification) are also stored.
Automation configuration data. Settings configured by Organization administrators for automated client communications, including message templates, trigger conditions, and scheduling parameters.
White label and branding data. Customization preferences set by eligible Organizations, including brand colors, logos, and custom planner items that are displayed to their clients within the Services.
Billing and subscription data. Organization billing plan selection, trial status, and payment processing information handled through Our third-party payment processor (Stripe). We store plan type and subscription status but do not store payment card details except in tokenized format.


INFORMATION COLLECTED THROUGH PET WELLNESS TOOLS
The Services include several pet wellness and memorial tools. When You use these tools, We collect the following categories of information:
Pet profile data. Information about Your pets, including name, species, breed, age, weight, and photographs. If You mark a pet as having passed, We also collect the date and cause of passing.
Pet emergency contacts and medical information. Contact information for Your pet's veterinarian or emergency contacts, and medical details You choose to provide, stored in separate records linked to Your pet profile.
Quality of Life (QOL) tracker data. Daily check-in responses across multiple wellness categories (such as comfort, appetite, mobility, and energy), numerical scores, notes, and optional photographs.
Peaceful Passing Planner data. Your selections and personal notes within the end-of-life planning tool, organized across multiple planning categories.
Pet Moments data. Photographs, captions, dates, and associated metadata uploaded to Your pet's photo timeline.
Words of Love data. Acrostic poems You create using Your pet's name.
Shared content data. When You generate shareable links for QOL calendars, planner summaries, photo timelines, or poems, We create and store unique tokens or slugs that enable public read-only access to the shared content.


EMPLOYER ACCESS CODES
If Your employer or HR department participates in the Services, they may provide You with a unique access code to create an account. When You redeem an access code, We record the code used, the date of redemption, and the association between Your account and the sponsoring Organization. Your employer may receive aggregate, de-identified data about employee participation but will not have access to Your individual pet data, messages, or account activity unless You separately consent to share specific data.


INFORMATION WE OBTAIN FROM THIRD PARTIES
We may maintain pages for Remembrance on social media platforms, such as Facebook, LinkedIn, Twitter, Google, YouTube, Instagram, and other third-party platforms. When You visit or interact with Our pages on those platforms, the platform provider's privacy policy will apply to Your interactions and their collection, use, and processing of Your personal information. You or the platforms may provide Us with information through the platform, and We will treat such information provided to Us in accordance with this Privacy Policy.


COOKIES AND OTHER INFORMATION COLLECTED BY AUTOMATED MEANS
As you navigate through and interact with Our Site and App, We automatically log information about you, Your computer or mobile device, and activity occurring on or through the Service, including but not limited to, Your computer or mobile device operating system type and version number, manufacturer and model, carrier and network type, device identifier, browser type and language, screen resolution, IP address, the website You visited before and after browsing Our website, general location information such as city, state or geographic area; information about Your use of and actions on the Site, such as pages or screens You viewed, how long You spent on a page or screen, navigation paths between pages or screens, information about Your activity on a page or screen, access times, and length of access; and other personal information.
On Our Site, this information is collected using cookies, browser web storage (also known as locally stored objects, or "LSOs"), web beacons, and similar technologies, and Our emails may also contain web beacons.


NOTIFICATIONS AND COMMUNICATION PREFERENCES
We send transactional and notification emails related to Your use of the Services, including account verification, invitation acceptance, peer message notifications, peer connection requests, and (for Organization team members) client activity alerts such as new client joins and pet loss notifications. You may manage Your email notification preferences through Your account settings. We use Resend as Our email delivery provider; emails are sent from care@care.remembrancepets.com.
For Organization team members, additional email notification preferences are available for client messages, new client notifications, and pet loss alerts. These preferences are stored per team member and can be managed through Organization settings.
Notification emails are subject to delivery rate limits (for example, peer and client message notifications are limited to one email per 30-minute window per sender) to prevent excessive communications.


ERROR MONITORING
We use Sentry, a third-party error monitoring service, to identify and resolve technical issues with the Services. Sentry may collect information about errors encountered during Your use of the Services, including device information, browser type, session replay data, and the sequence of actions leading to an error. This information is used solely for debugging and improving the reliability of the Services. For more information, please visit Sentry's privacy policy at https://sentry.io/privacy/.


THIRD PARTY ANALYTICS
We use third-party analytics services (such as Google Analytics) to evaluate Your use of the Services, compile reports on activity, collect demographic data, analyze performance metrics, and collect and evaluate other information relating to the Services and mobile and Internet usage. These third parties use cookies and other technologies to help analyze and provide Us the data. By accessing and using the Services, You consent to the processing of data about You by these analytics providers in the manner and for the purposes set out in this Privacy Policy.


HOW WE USE YOUR PERSONAL INFORMATION
We use information that We collect about You or that You provide to Us, including any personal information, for the following purposes, and as otherwise described in this Privacy Policy or at the time of collection:
To Operate the Service. We use Your personal information to:

HOW WE SHARE YOUR PERSONAL INFORMATION
We do not share Your personal information with third parties without Your consent, except in the following circumstances or as described in this Privacy Policy:
Affiliates. Although We currently do not have a corporate parent, subsidiaries, affiliates, or other companies under a common control (collectively, "Affiliates"), We may in the future. We may share Your personal information with these Affiliates for purposes consistent with this Privacy Policy.
Service Providers. We may share Your personal information with third-party contractors, companies and individuals that provide services on Our behalf or help Us operate the Services (such as customer support, payment processing, database management, email delivery, error monitoring, and hosting services). These third parties may use Your personal information only as directed or authorized by Us and in a manner consistent with this Privacy Policy and are prohibited from using or disclosing Your information for any other purpose.
Payment Processing. We currently use Stripe as Our third-party payment processor to process payments for the Service, including individual subscriptions and Organization billing. We do not process, record, or maintain Your payment card information or other payment method, except in a tokenized format.
With Organizations. If You are connected to an Organization through the Services (for example, as a client of a pet service provider or an employee whose employer offers the Services as a benefit), We may share limited information with that Organization, subject to Your consent:
With Your consent: If You enable data sharing for specific tools (QOL Tracker, Peaceful Passing Planner, or Pet Moments), the Organization's authorized team members may view the corresponding data. You may revoke this consent at any time through Your data sharing settings.
Without additional consent: Organizations may see Your name, the date You joined, and how You joined (invite, branded link, or access code). If messaging is enabled, Organizations may view messages exchanged with You through the provider messaging feature.
Organization administrators: Cannot access Your peer support conversations, personal peer profile, or any data from tools for which You have not granted consent.
For Compliance, Fraud Prevention, and Safety. We may share Your personal information with law enforcement, government authorities, and private parties as We believe necessary or appropriate to: (a) protect Our, Your, or others' rights, privacy, safety, or property (including by making and defending legal claims); (b) enforce the terms and conditions that govern the Service; and (c) protect, investigate, and deter against fraudulent, harmful, unauthorized, unethical, or illegal activity.
Business Transfers. We may sell, transfer, or otherwise share some or all of Our business or assets, including Your personal information, in connection with a business transaction (or potential business transaction) such as a corporate divestiture, merger, consolidation, acquisition, reorganization, or sale of assets, or in the event of bankruptcy or dissolution.


INFORMATION YOU PROVIDE IN CONNECTION WITH THE PEER SUPPORT APP
When You choose to use the Peer Support App, We may collect the following categories of personal information in addition to those set forth above:
Profile Information. Information You provide when creating or updating Your Peer Support App profile, which may include a display name, general demographic information, or optional grief-related details (such as the type of pet lost or the time since loss).
Communications. Content of messages, posts, or interactions shared with other Users through the Peer Support App, including text, images (up to 4 images per message, 10MB each), links, emoji, and any information You choose to disclose in peer-to-peer conversations.
Community Safety Data. Information related to the moderation of communications, including reports made by Users, flags, or actions taken in connection with potential violations of Our Terms of Service or community guidelines.


HOW WE USE PEER SUPPORT APP INFORMATION
In addition to the purposes described elsewhere in this Policy, We may use information collected through the Peer Support App to:
Provide, operate, and improve the peer-to-peer support features;
Facilitate User interactions and display shared content to other Users consistent with the design of the Peer Support App;
Enforce Our Terms of Service, community guidelines, and acceptable use policies; and
Monitor and improve safety, including through automated or human moderation of text and image content.
You acknowledge that any information You voluntarily share in the Peer Support App may be visible to other Users, and We cannot control how such Users may use or disclose that information. You should not share any information in the Peer Support App that You are not comfortable disclosing to others.


HOW WE SHARE PEER SUPPORT APP INFORMATION
We do not sell Peer Support App information. We may, however, share such information:
With Other Users. Messages, posts, images, or profile information that You choose to disclose in the Peer Support App may be visible to other Users consistent with the functionality of the App.
For Compliance and Safety. As described elsewhere in this Policy, We may disclose Peer Support App information to law enforcement, regulators, or other parties where required to protect rights, safety, or comply with law.
With Service Providers. We may share limited Peer Support App information with trusted vendors providing hosting, moderation, analytics, or other operational support.


SECURITY PRACTICES
The security of Your personal information is important to Us. We employ a number of organizational, technical, and physical safeguards designed to protect the personal information We collect. Passwords are stored on Our server in encrypted form. However, security risk is inherent in all internet and information technologies, and We cannot guarantee the security of Your personal information. Any transmission of personal information is at Your own risk, We are not responsible for circumvention of any privacy settings or security measures contained on this Site/App.
The safety and security of Your information also depends on You. Where We have given You (or where you have chosen) a password for access to certain parts of the Site/App, you are responsible for keeping this password confidential. We ask you not to share Your password with anyone.


INTERNATIONAL DATA TRANSFERS
We are headquartered in the United States and have Services providers in other countries, and Your personal information may be transferred to the United States or other locations outside of Your state, province, or country where privacy laws may not be as protective as those in Your state, province, or country.

We reserve the right to modify this Privacy Policy at any time. If We make material changes to this Privacy Policy, We will notify You by updating the effective date above and posting it on the Service. Any modifications to this Privacy Policy will be effective upon Our posting the new terms and/or upon implementation of the new changes on the Services. Only You or a person registered with the applicable Secretary of State that You authorize to act on Your behalf, may make a verifiable request related to Your personal information. NOTIFICATIONS AND COMMUNICATION PREFERENCES
We send transactional and notification emails related to Your use of the Services, including account verification, invitation acceptance, peer message notifications, peer connection requests, and (for Organization team members) client activity alerts such as new client joins and pet loss notifications. You may manage Your email notification preferences through Your account settings. We use Resend as Our email delivery provider; emails are sent from care@care.remembrancepets.com.
For Organization team members, additional email notification preferences are available for client messages, new client notifications, and pet loss alerts. These preferences are stored per team member and can be managed through Organization settings.
Notification emails are subject to delivery rate limits (for example, peer and client message notifications are limited to one email per 30-minute window per sender) to prevent excessive communications.


ERROR MONITORING
We use Sentry, a third-party error monitoring service, to identify and resolve technical issues with the Services. Sentry may collect information about errors encountered during Your use of the Services, including device information, browser type, session replay data, and the sequence of actions leading to an error. THIRD PARTY ANALYTICS
We use third-party analytics services (such as Google Analytics) to evaluate Your use of the Services, compile reports on activity, collect demographic data, analyze performance metrics, and collect and evaluate other information relating to the Services and mobile and Internet usage. These third parties use cookies and other technologies to help analyze and provide Us the data. By accessing and using the Services, You consent to the processing of data about You by these analytics providers in the manner and for the purposes set out in this Privacy Policy.

Payment Processing. We currently use Stripe as Our third-party payment processor to process payments for the Service, including individual subscriptions and Organization billing. We do not process, record, or maintain Your payment card information or other payment method, except in a tokenized format.
With Organizations. If You are connected to an Organization through the Services (for example, as a client of a pet service provider or an employee whose employer offers the Services as a benefit), We may share limited information with that Organization, subject to Your consent:
With Your consent: If You enable data sharing for specific tools (QOL Tracker, Peaceful Passing Planner, or Pet Moments), the Organization's authorized team members may view the corresponding data. You may revoke this consent at any time through Your data sharing settings.
Without additional consent: Organizations may see Your name, the date You joined, and how You joined (invite, branded link, or access code). If messaging is enabled, Organizations may view messages exchanged with You through the provider messaging feature.
Organization administrators: Cannot access Your peer support conversations, personal peer profile, or any data from tools for which You have not granted consent.
For Compliance, Fraud Prevention, and Safety. We may share Your personal information with law enforcement, government authorities, and private parties as We believe necessary or appropriate to: (a) protect Our, Your, or others' rights, privacy, safety, or property (including by making and defending legal claims); (b) enforce the terms and conditions that govern the Service; and (c) protect, investigate, and deter against fraudulent, harmful, unauthorized, unethical, or illegal activity.
Business Transfers. We may sell, transfer, or otherwise share some or all of Our business or assets, including Your personal information, in connection with a business transaction (or potential business transaction) such as a corporate divestiture, merger, consolidation, acquisition, reorganization, or sale of assets, or in the event of bankruptcy or dissolution.


INFORMATION YOU PROVIDE IN CONNECTION WITH THE PEER SUPPORT APP
When You choose to use the Peer Support App, We may collect the following categories of personal information in addition to those set forth above:
Profile Information. Information You provide when creating or updating Your Peer Support App profile, which may include a display name, general demographic information, or optional grief-related details (such as the type of pet lost or the time since loss).
Communications. Content of messages, posts, or interactions shared with other Users through the Peer Support App, including text, images (up to 4 images per message, 10MB each), links, emoji, and any information You choose to disclose in peer-to-peer conversations.
Community Safety Data. Information related to the moderation of communications, including reports made by Users, flags, or actions taken in connection with potential violations of Our Terms of Service or community guidelines.


HOW WE USE PEER SUPPORT APP INFORMATION
In addition to the purposes described elsewhere in this Policy, We may use information collected through the Peer Support App to:
Provide, operate, and improve the peer-to-peer support features;
Facilitate User interactions and display shared content to other Users consistent with the design of the Peer Support App;
Enforce Our Terms of Service, community guidelines, and acceptable use policies; and
Monitor and improve safety, including through automated or human moderation of text and image content.
You acknowledge that any information You voluntarily share in the Peer Support App may be visible to other Users, and We cannot control how such Users may use or disclose that information. You should not share any information in the Peer Support App that You are not comfortable disclosing to others.


HOW WE SHARE PEER SUPPORT APP INFORMATION
We do not sell Peer Support App information. We may, however, share such information:
With Other Users. Messages, posts, images, or profile information that You choose to disclose in the Peer Support App may be visible to other Users consistent with the functionality of the App.
For Compliance and Safety. As described elsewhere in this Policy, We may disclose Peer Support App information to law enforcement, regulators, or other parties where required to protect rights, safety, or comply with law.
With Service Providers. We may share limited Peer Support App information with trusted vendors providing hosting, moderation, analytics, or other operational support.

The security of Your personal information is important to Us. We employ a number of organizational, technical, and physical safeguards designed to protect the personal information We collect. Passwords are stored on Our server in encrypted form. However, security risk is inherent in all internet and information technologies, and We cannot guarantee the security of Your personal information. Only You or a person registered with the applicable Secretary of State that You authorize to act on Your behalf, may make a verifiable request related to Your personal information. You may also make a verifiable consumer request on behalf of Your minor child under 13.
